# Create a user

### **Introduction**

This document explains how to add users to ParagonERP, giving them access to the system in whatever capacity they may need to do their jobs efficiently.

 

### **Prerequisites:**

All users who are granted access to Paragon must be linked to a [security profile](https://support.paragon-erp.com/creating-user-security-profiles?hsLang=en). Each profile defines which areas of the system can be accessed. So, before you can create your user, you will have to create user security profiles.

### **Step-by-step instructions:**

- #### **Step 1: Go to the user management screen**

Once you have created a security profile, you are ready to create new users. From any screen, click on the **settings** button at the top right.

Under the **user access** card, click **user management**.

- #### **Step 2: Add a user**

Once you access **user management**, the initial screen displays all the users created in the system. To add a new user, click the **add new user** button at the bottom left-hand corner of the screen.

- #### **Step 2a: User settings**

The left side of the screen is for **user settings**. This is where you will fill in the user information.

 

**Account email** - Fill in the user's email address

**Full name** - Fill in the user's name

**User language** - Select the user's language from the drop down. (**Note**: Although many languages are available in the drop down list, ParagonERP only supports English, Dutch and French at this time.)

**Theme** - Select *light* or *dark.* The screens in ParagonERP will display with a light or dark background based on this selection.

**SSO Login Mandatory** - Click this to enable single sign on login. Refer to our [log into ParagonERP](https://support.paragon-erp.com/log-into-paragonerp?hsLang=en) article for more information.

 

- #### **Step 2b: Administrator settings**

#### The right side of the screen is for **administrator settings**.

**Security profile** - Choose the security profile for the user from the drop down list.

**Link to person** (optional) - If you have created a record in the [person](https://support.paragon-erp.com/creating-a-person?hsLang=en)module that you would like to link to the new user, you can use this field to do so.

**Prompt user to enter a new password on the next login** - Click on this option if you want the user to be prompted to enter a new password as soon as they login for the first time.

**Activate new user upon creation** - Choose this option if you want the user to be activated immediately. Otherwise, you will have to activate the user separately.

Click the green check make to create the user.

The **Manage** **my account** button is only accessible by the administrator of the system or by ParagonERP.

 

When you activate a new user, a username and temporary password, with a link to ParagonERP, will be emailed to the account email you entered in the previous step.

 

 If you checked the box **prompt user to enter a new password on the next login** in the previous step, the user will be prompted to create a new password immediately after logging in.

### **Users for picking, purchasing, service or sales**

Users can have a role that is embedded in the organization. For these users a special setup is required:

- Picker: a picker is a person to whom pick tickets and inventory transfers can be assigned. The picker role is normally used in combination with ParagonWMS. By assigning a picker to a transaction, it is ensured that only that user will see the transactions he/she needs to perform.
- Purchaser: a purchaser is a person who has the ownership of a certain product and purchases. Purchaser is used on the following modules: 
    - Products: often a purchaser has the responsibility for a set of products
    - Vendors: often a purchaser has the responsibility for a group of vendors
    - PO Proposals: if multiple purchasers exist, a purchaser would like to see the PO proposals for his products
    - Purchase orders: by adding a purchaser to a purchase order it is easier to address questions and inquiries.

To provide a user in the role of picker, purchaser or sales person create 1. a [person](https://support.paragon-erp.com/creating-a-person?hsLang=en) and 2 a user. Assign the person to the user profile. 

### **Deactivating a user**

If someone leaves your organization, you will want to remove them from your list of approved users in ParagonERP.

To deactivate a user profile, click the **active** check box. Once it is blank, the user will no longer have access to Paragon.

Now that you have users linked to security profiles, the process above can be used to add new users or edit existing users at any time.
