Creating a work order

Introduction

Here, we'll walk you through how to create a work order in Paragon manually, as well as how to create from transactions such as orders and quotes. 
The work order module is based on Paragon's standard transaction screen.

Accessing the work order module

Open the work order module by selecting it in the right-hand navigation bar or in the more menu.

 

Creating a work order manually

This is the list view of the work order module. To add a new work order, click add new work order.

 

Select the manual method

Select the method you want to create the work order from. In this case select manual.

General information

To start your work order, select a vendor or contractor.

Once you select a vendor, bill from and ship from addresses will default from the vendor module. The bill to and ship to addresses come from my company.

If the addresses you are looking for do not exist, you can create a new address.

 

Select the date by clicking on the calendar icon and selecting the appropriate date.

Fill in work order header attributes

Depending on how your work order screen was set up in screen set up fill in the header attributes or choose from drop down lists.

Add products to your work order

To add a product or line item to your work order, click add product in the lower left-hand side of the transaction grid.

Select all the items you would like to add to your work order by checking off the boxes on the left. If you cannot find them, you can search for them on the upper right hand corner.

Once the items have been added, you can edit any of the information in the line by clicking on that field and typing in the correct information. Also, this is where you can apply item discounts. You can also add more line items by clicking add product.

 

Add notes

If necessary, add any relevant notes. These notes won't affect anything in the system. They can be used for reminders or internal communication.

Canceling a work order

A work order can be canceled at any point before it is saved by clicking cancel in the upper left hand corner.

Saving a work order

Once you have filled in all the relevant information you can save your work order by clicking save in the bottom right-hand corner.

Once the work order is saved, it will automatically be assigned a transaction number with a temp status.
 
 

Creating a work order from an order

Select how you would like to create the work order. In this case, make sure the orders tab is selected. It is selected when orders is highlighted in orange.  Select the order number you want to use to create the work order by checking the corresponding box on the left. 
To deselect an order, uncheck its box.
Confirm or cancel a work order from an order
A work order can be canceled at any point before it is saved by clicking the close button in the bottom left hand corner.
 
To create and save a work order from the order(s) you selected, click the accept button in the bottom right hand corner.
Once you click the accept button, the work order will be created.
Note that once the work order is created, it will automatically be assigned a work order number and a temp status.
 

Creating a work order from a quote

Select how you would like to create the work order. In this case, make sure the quote tab is selected.  It is selected when quote is highlighted in orange. Select the quote number you want to use to create the work order by checking the corresponding box on the left. 

To deselect an quote, uncheck its box.

 
Confirm or cancel a work order from a quote

A work order can be canceled at any point before it is saved by clicking the close button in the bottom left hand corner.

 

To create and save a work order from the quote(s) you selected, click the accept button in the bottom right hand corner.

Once you click the accept button, the work order will be created.

Note that once the work order is created, it will automatically be assigned a work order number and a temp status.

 

I've created my work order, now what?

Once a work order has been created you can proceed in a number of ways using the green action button in the bottom right hand corner:


 
Once you issue your work order, the green action button will display additional options.
