Managing and adjusting invoice dates

Learn how to manage invoice dates in Paragon, including manual adjustments and automating the use of today's system date.

When sending a sales invoice, you may want to use the current system date or a specific date from the past. ParagonERP offers multiple ways to manage this, depending on your workflow and accounting needs.

Default invoice dating

When a sales invoice is generated via the ship module, it automatically inherits the transaction date of the original shipment. This date is then used as the final invoice date the moment you click the post (Boeken) button.

Manual date adjustment

You can manually change the date of an individual invoice before posting it:

  1. Open the specific invoice record.

  2. Click the edit (pencil) icon.

  3. Manually enter the desired date in the date field.

  4. Click save (floppy disk icon).

Important: If the date you enter falls within a financial period that has already been closed, Paragon will override your input and use the current system date (today's date) during processing to prevent accounting errors.

Using the system date automatically

If you prefer that all invoices automatically use the current system date upon posting—without manual adjustments—you can enable a global setting. We recommend discussing this with your Paragon consultant before making changes.

  1. Navigate to settings > screen settings.

  2. Select the invoice (Factuur) document and click edit (Wijzigen).

  3. Click the advanced settings button.

  4. Locate the option Update the transaction date to current date and set it to when issued.

Tip: You can temporarily disable this setting at any time. This is particularly useful during the transition to a new financial year if you still need to post invoices to the previous year.
