Your business runs on the information you keep in ParagonERP: your customers, orders, inventory and financials. Protecting it is part of the service we provide, not an add-on. This guide explains, in plain terms, how we protect you against the threats businesses worry about most: hacking, viruses, ransomware and phishing. It applies to every ParagonERP cloud customer. **One secure home for your data** ParagonERP, ParagonBI and ParagonAI all run inside the same Google Cloud Platform (GCP) environment. Your data does not travel across the public internet to outside providers when you run a report or use an AI feature. Why this matters to you: - **Fewer places for things to go wrong.** Every system that holds a copy of your data is a potential point of attack. Keeping our products in one environment keeps that number small. - **One set of protections.** The same security controls, monitoring and access rules cover all three products. - **World-class physical security.** Google's data centres are protected by guards, biometric access, and round-the-clock monitoring. Google Cloud is independently audited against major international standards such as ISO 27001 and SOC 2. - **Encryption everywhere.** Your data is encrypted while it is stored and while it moves between systems, so it is unreadable to anyone without authorized access. **Secure sign-in: single sign-on with multi-factor authentication** A stolen password alone is not enough to get into your ParagonERP account. Every user signs in through single sign-on (SSO) protected by multi-factor authentication (MFA). - **Single sign-on** means your team signs in once, through one trusted login, to reach ParagonERP, ParagonBI and ParagonAI. Fewer passwords means fewer weak or reused passwords. - **Multi-factor authentication** asks for a second proof of identity, such as a code on your phone or an approval in an authenticator app. Even if a criminal learns a password, they cannot sign in without that second step. - **Access ends when it should.** When someone leaves your company, removing them from SSO removes their access to every Paragon product at once. **Protection against hacking** We limit who can reach your data, watch for suspicious activity, keep our systems up to date, and have outside experts test our defences every year. - **Your data is kept separate.** Each customer's data is isolated, so one customer can never see another's information. - **Least-privilege access.** Your own users see only what their role allows. Paragon staff can reach customer systems only when their job requires it, and that access is logged. - **Network protection.** Google Cloud's firewalls and defences filter traffic before it reaches our applications, including protection against large-scale denial-of-service attacks. - **Continuous monitoring.** Activity is logged and monitored so unusual behaviour can be spotted and acted on quickly. - **Regular updates.** Because we run the platform for you, security patches are applied by our team. You never need to install updates yourself. - **Independent testing every year.** Because ParagonERP connects closely with Intuit QuickBooks Online, we complete an annual penetration test and third-party security review. In a penetration test, independent security experts try to break in the way a real attacker would, so weaknesses can be found and fixed before criminals can exploit them. **Protection against viruses and malware** Your ParagonERP data does not live on your office computers, so a virus on a laptop cannot spread into it. You reach ParagonERP through a secure, encrypted browser connection, and the systems that hold your data are run by our team in Google Cloud. - **No software to infect.** There is no ParagonERP server in your office for a virus to reach. - **Hardened cloud systems.** Our servers run on Google Cloud's secure infrastructure, which is built and maintained to resist malicious software. - **Controlled changes.** Only authorized changes are deployed to the platform, which keeps unknown or harmful software out. **Protection against ransomware** Ransomware locks up a company's files and demands payment to release them. If your office computers are hit, your ParagonERP data stays safe in the cloud. - **Out of reach.** Ransomware on a local computer cannot encrypt data held in our Google Cloud environment. - **Regular backups.** Your data is backed up automatically and stored separately from the live system. - **A plan for recovery.** If something goes wrong, we can restore your data from a clean backup. Once your computers are cleaned, your team can sign in from any device and get back to work. **Protection against phishing** Phishing emails try to trick people into giving away their passwords. Multi-factor authentication is one of the strongest defences against it: a stolen password is not enough to sign in. - **MFA blocks stolen passwords.** Without the second factor on the user's own device, an attacker cannot get in. - **One trusted login page.** Because everyone signs in through SSO, your team learns to recognise the one genuine login page, which makes fake pages easier to spot. - **We will never ask for your password.** Paragon staff will never ask for your password or MFA code by email, phone or chat. If anyone does, treat it as a phishing attempt and tell us. **Working together: what you can do** Security works best as a partnership. We protect the platform; these simple habits protect your side of it. - Keep MFA turned on for every user, and never approve a sign-in request you did not start. - Remove access promptly when an employee leaves or changes role. - Give each user only the permissions their job needs. - Keep office computers and phones updated and protected with antivirus software. - Train staff to pause before clicking links or opening unexpected attachments. - Report anything suspicious to us right away. **Questions?** If you have questions about security, or think your account may be at risk, contact your ParagonERP account manager or our support team.
