Creating a vendor

Introduction

It would be common sense to say that keeping track of your vendors is a crucial step for any business operations.
And it is also true that paperwork can be daunting, dare I even say, dreadful.  Thankfully, Paragon is there to help you manage all that madness!

This article will walk you through how to create and store a new vendor.

Go to vendor module

In the Paragon home screen, select the vendor icon on the right side bar. This will take you to the vendor module.


Create a new vendor

In the vendor module, click the create new button. This will take you to the vendor entry screen.


The vendor screen is separated into three categories
  1. Business card
  2. Attribute panel
  3. Activity panel
When creating new vendors, only sections 1 and 2 should be filled out. Transactions created for the vendor will appear in section 3.


The first field identified by code is mandatory and must be unique. We suggest using a vendor ID.


Fill in the other required fields in the business card. Fields with drop-down values are marked with a black arrow.

Add attributes

If you wish to add an attribute not present on the attribute panel, click the add new button.


Select an attribute to add from the list displayed.


If the attribute is not listed, please go to screen setup for vendor and add the new attribute. 

Follow this document to add a new address to your vendor. 

Add notes

You can also enter notes about the vendor, at the bottom left the screen.

To do so, press the add new button on the notepad and enter the note in the field provided.



Save the vendor

Once you've finished entering your information, press the save button at the bottom right.


Note that any fields left blank will no longer show on the screen when you save the vendor.



By default the created vendor will be inactive, which means you won't be able to use them in transactions until they are activated.
To do so, simply press the default action button post-saving, identified with activate.



Action Button

Once a vendor has been created you can proceed in a number of ways using the green action button in the bottom right-hand corner:
  1. Copy the vendor
  2. Deactivate the vendor
  3. See the AP Aging report
