Creating a reservation

Introduction

Reservations are sometimes necessary to set aside a specific amount of inventory to ensure you can fulfill an order. In this article, we'll walk you through how to create a reservation manually as well as how to create from an order or from a receipt.

The reservation module is based on Paragon's standard transaction screen. If you are not familiar with the format of transaction screens, get yourself oriented on transaction screens here.

Before you reserve inventory, make sure there is sufficient stock in the proper location to start with. See the inventory articles for further information on how to add, adjust, and move inventory across locations.

Open the reservation module

You can open the reservation module either by clicking the reserve button in the right-hand sidebar or through the more menu.




Create a manual reservation

To create a new reservation, click the create new button at the top left-hand side of the list view screen.


A modal will appear where you can select how you would like to create the reservation. Click the manual tab.


This blank reservation screen will automatically be displayed.


Add information to your reservation

Select a customer from the select a company drop-down.

Note that the reservation will not have a transaction number until it is saved. Once a transaction number is assigned, it will replace ##### at the top of the screen.

Once the company is selected, it will auto-populate the ship to and bill to addresses found in the customer file.


Products can then be added to the reservation by hitting the add product button.



The add product modal will appear, where products can be selected by checking the boxes that appear on the left of the screen. When you've selected all the required items, hit the  accept button. You can exit from this screen without adding products to the reservation by hitting the  cancel button.


The quantity and the price of the product can be manually entered on the lines that have just been added.


Select the date by hitting the calendar button and selecting the appropriate date. If you do not select a date, today's date will be entered automatically when the sales order is saved.


Once you have filled in all the relevant information you can save your reservation by clicking save in the bottom right-hand corner. 



To cancel the reservation, hit the cancel button at the top left-hand corner.



Create a reservation from receipts

When creating a new reservation, you have the option to create one from a receipt. In this case, after clicking the add new button from the list view, make sure the receipt tab is selected. (The tab is selected when it is highlighted in green).

Select the receipt(s) you want to use to create the reservation by checking the corresponding box(es) on the left. To deselect an item, uncheck its corresponding box.





Confirm or cancel creating a reservation from receipt

A reservation can be canceled at any point before it is created by hitting the close button in the bottom left-hand corner.

To create and save a reservation from the order(s) you selected, hit the accept button in the bottom right-hand corner.


Once you hit the accept button, the reservation will be created. Note that once the reservation is created, it will automatically be assigned a reservation number and be assigned a temp status.



Create a reservation from orders

In this case, after clicking the add new button from the list view, make sure the order tab is selected (it is selected when it is highlighted in orange).

Select the order(s) you want to use to create the reservation by checking the corresponding box(es) on the left. To deselect an order, uncheck the box.





Confirm or cancel creating a reservation from an order

A reservation can be canceled at any point before it is created by hitting the close button in the bottom left-hand corner.

To create and save a reservation from the order(s) you selected, hit the accept button in the bottom right-hand corner.


Once you hit the accept button, the reservation will be created and you'll be brought to your newly created reservation screen. Once the reservation is created, it will automatically be assigned a reservation number and be assigned a temp status.



I've created my reservation, now what?

Note that once the reservation is created, it will automatically be assigned a reservation number and be assigned a temp status.



The reservation can be edited by hitting the edit icon at the top right corner of the screen.



You can also access the reservation details by selecting the record from the receipt list (highlighting it) by hitting the list-detail toggle button.


Once a reservation has been created you can proceed in a number of ways using the action button in the bottom right-hand corner.
