Rule - How to automatically update the warehouse attribute in a transaction

An important feature of your shipments may be to have the warehouse name as a header attribute. Rather than filling in this information every time you create a shipment, Paragon allows this attribute to be automatically updated once your shipment is created, based on the addresses used in the transaction. If your ship to address is the same address as a warehouse, it will fill the header attribute with the name.

This type of automation can be arranged with the setup of a system rule. Please contact us at support@paragon-erp.com for help setting up rules.

 

Step 1: Set up warehouse attribute in shipment header

The warehouse attribute is a default attribute in Paragon and is already immediately available. To finish setting up warehouses, you will need to add your warehouse locations to the drop down list of the warehouse attribute. To do so, search for warehouse in attribute setup, and hit the edit button.


Then proceed to add the warehouse names to the list to choose from.

 

Step 2: Add the attribute to the shipment screen

Go to the settings page by hitting the settings button, then select screen setup from the system card.


Select the ship module, and hit the edit button.


Once in edit mode, you will be able to set up the warehouse attribute in the ship screen.  Select one of the business term fields and add the warehouse attribute. Once you have done so, hit the save button.

 

Step 3: Create your ship to addresses in my company

For each warehouse location that you have, you will have to create a new ship to address in my company with a certain format. If you do not have your warehouse locations set up, remember to do so first.

To set up the new addresses, hit the settings button from any screen.


Then hit my company from the system card.


Once you are in the my company screen, hit the edit buttonYou will then be able to add new ship to addresses by selecting ship, and in the drop down list hit new address.


On the new address screen, hit the can't find the address? button.


In this screen, fill out the address exactly as you had for your warehouse location. However, in addition to the building number and street, write the warehouse name at the end. For example, if your warehouse location is:

401 West Georgia Street

Vancouver British Columbia

Canada

V6B 5A1

And the name of the warehouse is:

CA IMPORTED

Then the new address in your my company screen will be:

401 West Georgia Street CA IMPORTED

Vancouver 

BC

V6B 5A1

Canada

Make sure that in the building number and street line, the warehouse name is added at the end.


Once the address has been filled out, hit the accept button.

 

Step 4: Install the rule

Rules are initially created by Jonar. All you have to do is install and activate them.

This rule should be saved under the after_save_ship trigger. Make sure that the rule is activated by checking the on checkbox.


You are now completely set up! To use the rule, create a shipment. Then, for the ship to address, use the address of the warehouse that you had set up in my company that includes the name of the warehouse. Hit the save button, and your warehouse attribute in the header should automatically be filled by the associated warehouse name.

 

Step 5: Seeing the rule in action

To test this rule, proceed to create a shipment. Go to the shipping module and hit the plus button.


Once you have filled in the details of your shipment, make sure to fill in the ship to address as the address you had set up in my company.


Then save your shipment.

Voila! The corresponding warehouse name is automatically filled in the warehouse attribute header.

 

What now?
