Deactivating records and using bulk actions
Learn how to deactivate obsolete records and use bulk actions to manage multiple products or orders simultaneously in Paragon.

In Paragon, master data such as vendors, customers, and products—as well as saved orders—cannot be deleted once they have been used in the system. To keep your workspace organized and hide obsolete data, you can use the deactivate feature.
Individual deactivation
To deactivate a single record:

Open the specific record (e.g., a product) in its module.

Click the more actions arrow (∨) next to the action button at the bottom right.

Select deactivate.
Note: If you deactivate a record by mistake, simply click the activate button to make it live again.
Using bulk actions
If you need to deactivate multiple items at once, you can use the bulk action tool:

Go to the list view of the module.

Click preferences on the right side of the screen.

Under show checkboxes, select always. This adds a checkbox to the left of every record in your list.

Select the records you wish to modify by checking their boxes.

Click the bulk actions button that appears at the top of the grid.

Select deactivate and confirm the prompt. A report will be generated to show if all actions were successful.
Filtering your list view
Once records are deactivated, you need to update your view to hide them:

Hover over the status column header and click the hamburger menu (three lines).

Click the filter icon (funnel).

Select only the active checkbox. Your list will now hide all inactive records.
Tips

Re-activating in bulk: To re-activate items, ensure your filter includes "inactive" records, select them, and use the activate option within bulk actions.

Searching and selecting: You can use the search bar to find specific items, check them, and then perform a new search. Paragon remembers your previous selections as long as you remain in the module.

Module-specific actions: Bulk actions vary by module. In the product module, you can print labels in bulk; in sales orders, you can issue multiple order confirmations at once.

Safety first: If you are unfamiliar with bulk actions, practice first in the test mode manager to avoid accidental changes to your live data.
