Email settings for multiple addresses

Introduction

In ParagonERP you can use multiple email addresses to send your various transactions or other documents. This article will show you how to set up your email settings to use multiple addresses.

General notes before you begin:

  • The email settings feature in ParagonERP can only use email addresses already set up with your email provider. Any email addresses that have been configured with an email provider can be used by ParagonERP.
  • Using multiple email addresses is considered to be a more 'complex' function. There is a toggle in my company called use email service. This option needs to be initiated to use the more complex email settings.
  • Currently, ParagonERP has been tested with Google and Microsoft (Outlook) email providers. Any other email provider should be tested before configuration.

Configure new email addresses

New email addresses can be configured in the settings screen, under the communications card. Click on email settings.

When opening the email settings modal, the user will find all the email addresses that have already been configured. These email addresses can be adjusted if needed (e.g. a new password).

 

Click on add credentials to add a new email address. You will then be asked for more information.

Changing configured email addresses

An email address can be changed in the same screen where email addresses are configured, by using the actions button.

 

When the actions button is clicked on the specific email address, the settings will be shown. You can change the settings accordingly. In this screen it is possible to set a default account (as main account).

It is only possible to set one default account in ParagonERP. If a new account is set as the default account the old default account will unchecked as the default account.

Click on update credentials when you are finished making your changes.

 

Using email addresses to send email from

It is possible to directly use a configured email address to send emails from. In ParagonERP you can also define a configured email address for templates. This can be done from settings, under the reports & data card. Click on print and email configuration.

From the print and email configuration screen, click on the edit button.

The sample screen above shows that certain modules have been set up to print or print & email. This allows you to add an email template to specific outgoing transactions or documents. Click on the envelope button next to the transactions that you want to use to create templates, as long as the action has been defined at email or print and email.

Here is a sample of an email template that can be created once you click on the envelope button for one of the transactions.
