Managing sales returns with return slips (RMA)
Learn how to process customer returns using the return slip (RMA) in Paragon to automatically update inventory and create credit notes.
The return slip (RMA) module is used specifically for customer returns. The primary advantage of using a return slip over a standard credit note is that it automatically corrects your inventory levels.
Note: This module is for customer returns only. For returns to a vendor, please see: Adjusting inventory for purchase credit notes.
Introduction to return slips
To access this module, click << more in the side menu and select return slip. If you only need to process a financial credit without any inventory movement, use a credit note. However, if the customer is physically returning stock, the return slip is the correct solution.
Creating a return slip

Click << more and navigate to the return slip module.

Click the add button (+) to start a new record.
Selecting an invoice or manual entry
You have two main methods for creating the slip:
A. Based on an existing invoice Select the invoices tab to find the original sale. This allows you to see exactly which items were previously delivered.

Remaining to return: This column shows how many items are still eligible for return, preventing duplicate credits.

Show completed invoices: Check this box to include invoices that have already been paid.

Transfer quantities: This is checked by default to copy all invoiced lines into the slip for adjustment.
B. Manual entry If you cannot link the return to a specific invoice, select the handmatig (Manual) tab to build the return slip from scratch.
Reviewing and processing

Review: Check the articles and amounts.

Edit: Click edit (Wijzigen) to adjust quantities or prices.

Important: Do not enter negative numbers. The system handles the return calculation automatically.

Remove lines: Right-click a line and choose remove line for items that are not being returned.

Save: Click the floppy disk icon.

Process: Click the credit note button. Paragon will then automatically perform the following:

Change the return slip status to ISSUED.

Create a linked credit note (status: ISSUED) in the credit note module.

Create a receipt (status: VOLTOOID) to add the items back into your inventory.

Update the inventory history for the products involved.
