Purchasing products with batch numbers and expiry dates

Learn how to purchase products with batch numbers and expiry dates (THT) in Paragon, from setup to receiving stock.

This guide describes how to navigate the purchasing process for items that track batch numbers and expiry dates (THT). The starting point is a purchase order with the status ISSUED.

Note: Batch and serial number tracking requires the Xtra subscription tier.

Adding columns

To view batch data and locations in your overview, you must first activate the correct columns in the transaction screen of your purchase order.

  1. Click the columns tab on the right side of the screen.

  2. Search for and check the following fields:

    • Batch Number

    • THT (Select the bottom option under 'Line Attributes')

    • Item Location

  3. Click columns again to close the menu.

Entering batch numbers and expiry dates

Before receiving the goods, you must record the specific batch data on the purchase order.

  1. Click the arrow (green triangle) next to the action button and select THT Batch.

  2. Enter the unique batch number and the corresponding expiry date for the item lines.

  3. Click the checkmark (green button) to save the data. Note: Each batch number must be unique per item line.

Creating inventory locations

To correctly store stock based on the batch, a specific location must be generated.

  1. Click the arrow again and select create location.

  2. The system automatically creates an item location, which is a combination of the batch number and the expiry date.

Creating and finalizing receipts

Once the goods physically arrive, process the receipt.

  1. Go to the receive module and click the add button (+).

  2. Select the relevant purchase order and confirm with the checkmark.

  3. Adjust the columns in this screen as well (as described in 'Adding columns') to verify the batch details.

  4. Click issue to finalize the receipt and close the purchase order.

  5. Finally, click complete to officially add the stock to the warehouse.

Checking stock by batch

You can view which batches are currently in stock at any time.

  1. Go to the product module and open the desired item.

  2. Click the inventory tab.

  3. Here you will see a detailed overview of the available stock per batch number and location.
