Adding attachments in Paragon

Introduction

In Paragon, you can attach files or URLs to any reference, transaction, or transaction line. This means URLs can be attached to separate items on a sales order, invoice, quote, etc. (transactions), or to a product, customer, vendor, or person (references). Here, we'll walk you through the proper methods of using attachments in Paragon.

First, we'll discuss adding attachments to separate line items on transactions. Keep in mind that once you know how to attach URLs in one module, you'll know how to attach them in all modules.

Add attachments to transaction lines

In this example, we'll attach files to separate line items on a sales order

Navigate to a transaction module

From the home screen, hit the order module.

Add line attachments

Once you've added a line item to a transaction, you can add line attachments anytime. To do this, right-click on the individual line you'd like to attach a URL to and choose Add Attachments from the drop-down list.

From here, a modal will appear and you can proceed to attach your URL. Enter the URL in the box, and hit the attach button (Once attached, the link will pop up under Attached in the modal). You can attach as many URLs as you wish on one line. Once you've attached everything you need, hit the accept button.

Once you've added the necessary attachments, save your changes by hitting the save button.

 

View line attachments

Once saved, you can check your attachments by returning to the transaction form and right-clicking on the line item. The blue arrow at the far left of the line also indicates that this line has additional information associated with it - attachments, Bills of Material, notes, etc. When in edit mode and a line item has an attachment the drop-down menu will show and option to View Attachments.

 

 

Add reference and transaction attachments

Now, we'll walk you through attachments on reference/transaction forms.
Navigate to a reference module
You also have the option of attaching URLs to reference forms. In this example, we'll attach a URL to the Product form. Again, once you know how to attach on one screen, you'll know how to attach on all other screens.
Hit the product module.
 
Attach URL
Once you've chosen a product from the list view, hit the list view button at the top left hand corner of the screen. From here, hit the edit button. You can now hit the attachment link at the bottom of the screen, and proceed to attach your URL(s).
 
Enter URL
A modal will pop up, and you'll be prompted to enter a URL you would like to attach. Enter the URL, and hit the attach button. Once attached, the link will pop up under attached in the modal. Once you're done, hit the accept button.
 
 

 

Save and View

Once you've attached everything you need, hit the save button at the bottom right hand corner of the screen to save your changes.

 
You can now view your attachments by hitting the attachment link at the bottom of the screen once you're out of edit mode.
 
 
 

How to automatically generate PDF attachments

Paragon has a feature that can automatically generate and attach a PDF of a transaction once it is issued. This provides you with quick and easy access to a PDF printout of the transaction at a future date, as well as providing you with traceability of any changes made to the transaction.
 

The feature is currently only available on the Invoice and Credit modules.

 
Navigate to the transaction's screen setup page. In this example, we are using the Credit module.
 

From there, hit the edit button in the top right corner and then hit the advanced settings button. A modal will appear.
 
Select the relevant checkbox for the setting. Once done, hit the accept button on the modal and then hit the save button on the bottom right corner of the screen.
 
 
Now, once you issue the credit, you can hit the attachments button on the bottom of the screen.
 
 
Clicking on it will open the attachments modal, showing you all the relevant details of the attachment, such as the date & time the attachment was added, along with which user triggered the auto-generated attachment when issuing the transaction. Clicking on the document's name will download the PDF for you.
 
 

Note that if a user edits the transaction, a new PDF will be attached upon saving. Therefore in a scenario like that, you will see multiple PDF attachments.
