Inventory Transfers

Introduction

ParagonERP supports the movement of goods within a warehouse via the inventory transfers module. This feature functions just like any other transaction in ParagonERP, and is designed to track various inventory transfers.

Types of inventory transfers

  • From a receipt dock into a warehouse. An inventory transfer can be created automatically to move received goods from the dock into the pallet location;
  • Feed an assembly line. A work order requires materials to produce finished goods. ParagonERP can create an inventory transfer to collect materials from the storage location(s) and move them to the production location;
  • Replenishment. Move goods from bulk to pick locations.

It could also be used to perform any other movement of goods that you'd like to track. 

Note: Inventory transfers can only be performed within one ParagonERP warehouse. The reason is that you could have different valuations per warehouse, and that would not allow a simple transfer from one warehouse to another. In this case, a shipment and receipt are required.

If you have multiple buildings on one site, this needs to be managed within the location settings.

Setup

Inventory transfer is a feature that must be enabled on the MyCompany summary page.

When the warehouse inventory management option is switched on, the warehouses tab will appear allowing you to link existing Warehouses to Addresses.

Usage

The difference between an inventory transfer and an inventory movement is that an inventory movement is a single action that moves goods from A to B. An inventory transfer is a task for someone to pick up and put away products and can be scheduled. 

Inventory movement: In real life this transaction would only make sense if you notice that goods are in the wrong location. By using the inventory movement feature, goods can be transferred to another location without physically touching them.

Inventory transfer: This is a task that is assigned to someone and exists in 2 steps:

  1. Get the goods from the pickup location;
  2. Transfer the goods to the putaway location.

The inventory transfer can be assigned to a person and is supported by a document (either on paper or on a pdf (digital document) to support the transaction. The pickup location could be the receiving dock and the putaway location could be a production line, in case the inventory transfer is created from a receipt or a work order.

Manual inventory transfer creation

Before you create inventory transfers, please ensure the transaction screen setup page and attribute inheritance have been correctly configured for your preferred workflow.

To manually create an inventory transfer, a validated warehouse is required. When using ParagonWMS (our warehouse management system and mobile app) also select a picker for the inventory transfer task.

On line level, enter the product, a from location, a to location, and the quantity to be replaced/moved.

To support the picker and other warehouse staff, an inventory transfer can be printed or emailed. When ParagonWMS is not being used, the idea is that the picker takes the PDF, performs the goods transfers, and registers each of their actions on the PDF. Afterward, the data is processed in ParagonERP.

The inventory transfer document shows:

  1. The person responsible for the movement of the goods;
  2. The total of lines: thus the number of picks and transfers required to get an idea of the number of physical movements to be performed;
  3. The total quantity of products to be transferred to get an idea of the volume;
  4. The detail lines with the products, the pickup and putaway locations;
  5. Checkboxes, to note that the goods have been picked up and put away;
  6. A notes section if comments are required. 

Verifying the transfer via the inventory history screen

Once an inventory transfer has been issued and/or completed, you can view the effect that this had on your stock levels with the inventory history screen. There you can see (from a product standpoint) which transfers took place, when, and with what quantities.

When the inventory transfer has been performed, it needs to be registered in ParagonERP. Enter the quantity picked up and quantity put away and complete the transaction. Please note that an inventory transfer needs to be performed completely (in full). It is not possible to perform a partial inventory transfer.
